Terms of service

1. What ClinicPay is

ClinicPay is a software service for healthcare providers (clinics, pharmacies, hospitals, dental and maternity practices, laboratories) in Zimbabwe. It lets a provider create payment requests, share pay links and QR codes, collect payments through a licensed payment gateway (Pesepay), record payments taken at the desk, issue fiscal receipts through the provider's ZIMRA fiscal device, and see settlement reports and statements.

ClinicPay is not a bank, a payment service provider or a lender. It never holds patient money: every online payment settles from the gateway to the provider's own merchant account. Instalment arrangements are credit extended by the provider to its patient, on the provider's terms.

2. Your account, sites and keys

A provider account is opened by a person authorised to act for the registered business. The provider key signs in to the portal; reception keys are issued per site and sign in the reception app. You are responsible for who holds your keys; rotate or revoke a key the moment a phone is lost or a staff member leaves.

A site is a ZIMRA fiscal device registered under your TIN. Registering a real device with the Fiscalisation Data Management System is your obligation as the taxpayer; ClinicPay transmits receipts on your behalf. A demo site uses a simulator and issues no valid fiscal receipts.

3. Fees

ClinicPay charges the provider a platform fee of a percentage of every amount collected through a request (online or recorded at the desk) plus a fixed fee per site per month, as shown in the portal. Fees are invoiced monthly to the provider; ClinicPay does not deduct them from patient payments. Payment-gateway charges and any surcharge the provider chooses to show card payers are separate from ClinicPay's fees.

4. Availability and your responsibilities

ClinicPay is provided as is. Fiscal receipts depend on ZIMRA's systems and your device's registration; ClinicPay queues and retries but cannot guarantee ZIMRA's availability. You remain responsible for your tax filings, for the accuracy of amounts you request, for the lawfulness of any instalment arrangement, and for informing patients and payers about how you process their data.

5. Data

ClinicPay stores the minimum needed to collect a payment: an amount, a short description, an opaque reference, the payer's contact details, and the fiscal receipt. It is not a clinical record system and must not be used to store diagnoses or clinical notes. See the privacy notice.

6. Ending the agreement

You may stop using ClinicPay at any time; fees already accrued remain payable. ClinicPay may suspend an account used for fraud, for collecting payments that are not the provider's own, or in breach of these terms. Fiscal receipts already transmitted remain with ZIMRA.

7. Liability

To the extent permitted by law, ClinicPay's liability for any claim is limited to the platform fees you paid in the three months before the claim. ClinicPay is not liable for gateway outages, ZIMRA outages, chargebacks, or a payer's failure to pay an instalment.
